Onboarding Checklist (Connectivity)

This article provides the checklist for connected-solutions' implementation:


How Connected Accu-Chek Inform II works


  1. Scan the barcode for Resident ID on the PointClickCare Main App or eMAR during the "Patient ID" step
  2. Take the measurement to get the Blood Sugar data
  3. Press the green checkmark to transfer the data to PCC **  ** With a wired setup, staff must dock the meter for results to transfer to PCC.

No need to enter data manually in eMAR or Main App. The uploaded blood sugar information will be included in all reports automatically, about 30 seconds after pressing the checkmark or docking the meter on the base unit.


On-Boarding Stages

Download the Self Serve Activation guide (https://pccstgusdevpprbootdiag.blob.core.windows.net/amplify-prod-app-public/iG8g2AGykf7DUc27K7JlEB1tzNwFkErRVuRSaGue.pdf ) and forward it to the authorized person at the home. The authorized person must request the integration from the PointClickCare app.


  • Communicate with home's IT management company to unblock the required ports (Takes up-to 5 business days)

  • Install "Agartee eMAR patient barcode" extension in Google Chrome browsers

Work with the pharmacy's point-of-contact to install "Agartee eMAR patient barcode" from Chrome App Store (https://chrome.google.com/webstore/detail/agartee-emar-patient-barc/eljiliphohbkjlembocaajndnmmhenjc) on Chrome browsers on all computers on the MedCarts.


  • Collect LTC Home WiFi (SSID and Password) information

WiFi credentials for the home will be needed when Implementation Team is on-boarding at the home to setup  WiFi on the Agartee Connectivity Modems


  • Have credentials for PCC Sandbox and Install "Agartee Modem Setup" App on your iPhone

On-Boarding Day

         Definitions

Modems assigned to Training (or Demo) sites:

When a modem is assigned to a Demo Site, it is to be used to demonstrate how the system collects and transfers the data. Also can be used to confirm the system is working as expected before going live. These modems transfer the data into PointClickCare Sandbox.


Modems assigned to Live sites:

When a modem is assigned to an actual live site, it means the device is being used for taking real residents measurements. The data taken using live modems go to LIVE PointClickCare portal and NOT to PointClickCare Sandbox.



         Process for implementing the connectivity component


              Step 1:

The goal of Step 1 is to set the Arwen (Gen1) Agartee Modems and assign them to ET Training site so Agartee team can upgrade them to Gen 2 modems.


Use the Agartee App to connect the Agartee modem to the WiFi network and assign the modem to a Demo Site. The measurements will then be transferred to PCC Sandbox.


To perform this step, you need to:

a) Have an Agartee modem that has been assigned to a Demo Site (Can be done through the Agartee App)
b) Have access to PointClickCare Sandbox, and 

c) Have the barcode extension installed on your Google Chrome web browser. 



Note 1: If upgrades cannot be done and you are using Arwen generation for training, you need to set the Date/Time on the meter manually before taking the measurements. 


Note 2: Please make sure only one modem is plugged in at a time during the setup process. After setup is complete, all modems should be plugged in.

Step 2:

If necessary, Agartee will perform the upgrades remotely. 


There is no action needed from the implementation team, but Agartee and the Implementation team need to communicate regarding the start and completion of this step.


Step 3: 

  - Connect the Base Units to the Agartee modems. Make sure Blue Cables are attached properly.
  - Wait 5 minutes or till base unit light turns steady green

  - Take non-QC measurements and check the results in PCC Sandbox


If you see the results in PCC sandbox, the devices are all set up properly.


Step 4: 

Conduct hands on training with the modems you have set up. Trainees can take measurements, experiment and see the results in the PCC Sandbox.


Note: Please use the same meter(s) with the same base unit.


Step 5:

When training is completed: Either communicate with Agartee team to reassign the Agartee modems to live sites or use the Agartee APP to assign the Agartee modem(s) to the actual home. 


Note: You will need Modem ID to complete this step. All modem IDs are available in our shared Google Sheet document or printed on the modems. 



How to set up an Agartee modem with the Base Unit:



  • Ensure that Base Unit is connected to Agartee Connectivity Modem through an ethernet Cable as shown in the picture below:


  • Ensure the switch under the Base Unit is in the middle position (If the light on the Base Unit is BLUE, it means the switch is not in the middle)


  • Make sure both Base Unit and Agartee Connectivity Modem are plugged in. (Wait for 2 minutes)


  • Secure power cords with self-locking cable ties


  • Take the Meter off the Base Unit, wait for a couple of seconds and put it back on. If all is OK, the LED on the Base Unit will turn to Green (For Troubleshooting, please follow Workflow Steps document )


Note 1: To initiate or refresh the communication between Agartee modem and the base unit, take the Meter off the Base Unit, wait for couple of seconds and put it back on.


Note 2: It is normal for the base unit to flash RED initially. It will take around 3- 5 minutes for the Agartee Modem and base unit to boot up and start communicating.


How to test the whole system:

You have already tested that the system is connected to the home's WiFi and functions properly. To ensure that it has been assigned to the correct home after re-assigning the modem(s) to the actual home after training sessions: 

  • You can also perform a mock reading (scan a barcode, take a test) and make sure data goes through
    Note:  This is the Live System so the data goes to REAL PointClickCare portal (NOT the Sandbox). Therefore, remember to delete the sample test from resident's chart


After On-Boarding:


Communicate with home's POC to remind staff on usage protocol for the first 2 months?

We already know 4 key issues that probably we need to resolve by training:
 a) Staff do not enter/scan Resident ID

 b) Staff don't look at the screen, and often scan the wrong barcode at the wrong step (Lot number instead of resident number etc.). Especially when the operator ID screen appears.

 c) Staff unplug the BUs/Modems as they think devices need to be plugged in ONLY when they take the tests.
 d) [Wired setup] Staff do NOT put the meters back on the BUs

 e) [Wireless setup] Staff do NOT press the green checkmark button after taking a reading, so upload to PCC is delayed
